Events at Historic Westwood may use the first floor of the house, the front porch, and the grounds.
CAPACITY FOR INDOOR EVENTS OR WEDDINGS
The maximum indoor capacity during a cocktail style event is 120. The maximum indoor capacity for a seated event is 75.
CAPACITY FOR OUTDOOR EVENTS OR WEDDINGS
The maximum outdoor capacity is up to 400. Tent rentals are available through All Occasions Party Rentals.
EVENING EVENT HOURS
Events must end by 11 pm – with one hour of cleaning time after that. Amplified music must cease by 10 pm. This is governed by city ordinance. The bar must close at least 30 minutes prior to the event’s end. Failure to end the event on time will not only result in forfeiture of the damage deposit but also a penalty of $1,000.
One event staff person is included in the rental fee and is mandatory at every event. The events director and the event staff person will assist vendors and others with becoming familiar with the facility but are not responsible for set-up or clean-up.
Included in the rental fee is one security person to direct parking, assist guests with disabilities, and provide general security. Additional security may be arranged for an additional fee.
SECURITY DEPOSIT/CLEANING FEE
You are responsible for any damages that occur to Historic Westwood during your event. There is a security deposit/cleaning fee of $500. In the event that no damages or severe time overages occur, you will be refunded the security deposit portion ($250) within 30 days after the event.
A signed contract, the security deposit/cleaning fee, and one half of the rental fee must be paid to reserve a specific date. The balance (including payment for upgrades and additions to standard provided rentals) will be due at least 30 days prior to the event. The reservation fee is non-refundable.
Special pricing may be available based on time of day and number of guests for weddings and receptions occurring November – February and morning weddings vacating the premises by 2 pm. In addition, Knox Heritage major donors receive a discount of 10%.
Tent, tables, chairs, linens, etc. are an additional charge to be paid by the client. All Occasions Party Rentals is our exclusive provider of rental services. Historic Westwood will provide assistance in arranging for all rental items in order to assure the best pricing. The client will work with the Director of Events to make arrangements for set-up of rental items.
Rented equipment must be delivered during the hours specified in the Historic Westwood Rental Agreement. If necessary, arrangements can be made for rentals to be dropped off one day prior to the event with the approval of the Director of Events. All equipment must be removed by the time specified in the Historic Westwood Rental Agreement.
Historic Westwood cannot assume any responsibility for any items left after an event. Items left for more than 48 hours after the event are considered the property of Historic Westwood.
All events at which food and drink are served must be catered by a licensed and insured caterer. We have a list of approved caterers who have been trained to work int he facility. There is a catering fee of $1,000, which is waived with the use of an approved caterer. All caterers must submit a copy of their business license and a certificate of liability insurance, including liquor liability, in the amount of $1,000,000.00 prior to the event. The certificate should also state that Historic Westwood is named as insured on the group’s insurance policy for the date of the event.
The caterer is responsible for the break-down of all tables, chairs, food and beverage stations, and all other equipment related to the event.
Caterers not listed on the approved catering list must be approved by the Director of Events and undergo orientation by Historic Westwood staff no later than 30 days prior to the event. A caterer’s failure to comply with event policies may result in the loss of the event security deposit.
You are allowed to provide your own alcoholic beverages as long as you meet all the requirements. Bartenders must be licensed and insured and either hired through the catering service or a licensed bartending service. The bartending service must provide Historic Westwood with proof of $1,000,000.00 liability insurance with Historic Westwood listed on the policy for the day of the event. Kegs are permitted outdoors only.
